Core Responsibilities

As the Receptionist and Case Processing Assistant, your daily tasks will span two primary focus areas-reception/front desk and immigration case assistance. You will be required to:

Reception and Front-Desk Duties

  • Serve as the first point of contact for clients arriving at or contacting the office-ensuring they are welcomed with courtesy and respect.

  • Manage incoming and outgoing phone calls and emails, providing timely responses or appropriate redirection.

  • Coordinate appointment bookings, maintain appointment logs and manage the scheduling system.

  • Ensure the reception area remains organized, professional and client-ready at all times.

  • Handle walk-in inquiries and provide basic information about services offered.

Administrative and Case Support Duties

When reception responsibilities are lighter, you will shift focus to supporting the administrative and legal teams. These tasks include:

  • Assisting case officers in gathering client documents and relevant immigration information.

  • Reviewing collected documentation to ensure completeness and accuracy.

  • Helping prepare immigration application packages under supervision.

  • Maintaining and updating physical and digital case files with new client data.

  • Following up with clients via phone or email to request missing paperwork or additional information.

  • Logging detailed case notes, file numbers and progress updates for internal reference.

  • Ensuring all client files are treated with confidentiality and comply with data protection guidelines.
